Centura Property Compliance Privacy Policy

This Privacy Policy explains how Centura Property Compliance (“Centura,” “we,” “us,” or “our”) collects, uses, discloses, and retains personal information through our website, application, portals, document-preparation and compliance-support services, and related communications (collectively, the “Services”).
1. Information We Collect
Depending on how you use the Services, we may collect the following categories.
Account and access information
- Email address, authentication credentials, account identifiers, confirmation status, and session information.
- Client organization, account type, membership, role, invitation, access status, and account activity.
- Authentication cookies required to keep users signed in and protect account access.
Our authentication provider processes passwords. Centura does not need to store or view passwords in readable form.
Contact and business information
- Client, company, property-management-firm, and account display names.
- Owner, applicant, property-manager, filing-contact, and contact-person names and roles.
- Email addresses, telephone numbers, mailing addresses, websites, and communication preferences.
- Internal service notes supplied by Clients or created by authorized Centura personnel.
Property and compliance information
- Property and unit addresses, property structure, licensing subject, municipality, jurisdictional identifiers, management relationships, and owner information.
- License, registration, inspection, certificate, occupancy, compliance, expiration, and other tracked facts and dates.
- Government forms, license documents, compliance documents, credentials, supporting evidence, attestations, and data extracted or proposed from those materials.
- Property and compliance history, archived or replacement records, provenance, review status, and audit information.
Service and workflow information
- Requests, intake answers, conversations, messages, proposals, Work Orders, tasks, responses, questions, approvals, corrections, cancellations, statuses, and related timestamps.
- Prepared forms, packages, artifacts, worksheets, accepted outputs, support mappings, and download links or references.
- Authorized-user actions, transaction receipts, system events, and limited operational telemetry used to secure, troubleshoot, and operate the Services.
We do not intentionally preserve hidden artificial-intelligence reasoning, raw provider transcripts, browser sessions, or subagent transcripts as Client product records.
Files and derived information
We collect PDFs, images, forms, licenses, certificates, reports, screenshots, and other files you or another authorized user uploads. We may extract text, fields, dates, document type, owner data, and other proposed information from those files. Uploaded or extracted information does not become accepted compliance evidence until it completes the applicable review process.
Technical information
Our website, hosting, authentication, security, and infrastructure providers may automatically process IP address, browser and device information, request and response metadata, timestamps, cookie identifiers, error information, and security logs. The current Application uses essential authentication and session cookies and does not use advertising cookies or cross-site behavioral advertising.
Payment information
When payment functionality is offered, our payment processor collects and processes payment credentials under its own privacy notice. Centura may receive a customer identifier, payment-method summary, billing contact, transaction amount, status, receipts, disputes, and related records. Centura does not directly store full payment-card numbers.
2. Sources of Information
We collect information:
- directly from you and other users authorized for your Client account;
- from Centura Operators who create, review, correct, or manage service records;
- from documents, forms, and files supplied through the Services;
- from government websites, public records, and municipality sources used for authorized research;
- from service providers that support authentication, hosting, storage, communications, security, document processing, artificial intelligence, and public research; and
- automatically through essential cookies, server logs, and security systems.
3. How We Use Information
We use personal information to:
- create and administer accounts, memberships, invitations, and permissions;
- authenticate users and protect Client isolation and system security;
- provide compliance tracking, intake, research, document preparation, review, task, Work Order, package, and related operational services;
- resolve filing contacts, property owners, management contacts, and other authorized roles;
- extract, organize, validate, correct, and retain service information and files;
- communicate about account confirmation, invitations, requests, missing information, service progress, accepted outputs, security, and support;
- maintain provenance, immutable service records, transaction receipts, audit history, and retry-safe operations;
- investigate errors, prevent fraud or misuse, enforce our agreements, and protect legal rights;
- comply with law, legal process, government requests, and recordkeeping obligations; and
- evaluate and improve Service reliability, safety, and user experience using appropriately limited information.
We do not currently use Client personal information for targeted advertising or sell it for money. We do not use Client Content to train a Centura general-purpose artificial-intelligence model.
4. Artificial Intelligence and Automated Processing
Centura uses automated systems and third-party artificial-intelligence providers for functions such as conversations, document extraction, public research, document preparation, and output review. Depending on the task, limited account, property, compliance, conversation, or file content may be sent to those providers so they can perform services for Centura.
Centura uses technical and organizational controls intended to limit each system to authorized context. Agent workflows are designed to exclude protected identifiers such as Social Security numbers, tax account numbers, and filing PINs from ordinary model context and generated documents. However, an uploaded license or compliance document may itself contain sensitive identifiers. When document extraction is enabled, the full uploaded file may be processed by our document-extraction provider. Submit only information necessary for the requested Service, and use an approved secure method whenever Centura provides one for protected information.
Automated results may be incomplete or incorrect. Centura uses applicable system and human review before proposed data or prepared materials become accepted service records or outputs.
5. How We Disclose Information
We may disclose personal information as follows.
Within your Client account
Authorized Client Admins, Client Members, and Centura Operators may access information according to their roles. Some users in the same Client organization may see property information, tasks, responses, progress, and accepted outputs. Internal Centura notes, provider details, and restricted operational information are not intended for Client users.
Service providers
We use providers for database, authentication, file storage, queues, website hosting, worker hosting, document processing, artificial intelligence, public-web research, browser automation, security, and related infrastructure. Current code and deployment configuration identify providers including Supabase, Vercel, Render, OpenAI, Google, Anthropic, Tavily, and Browserbase. These providers process information for the relevant service subject to their agreements and privacy terms.
Payment and email-delivery providers receive the information reasonably necessary to provide their services when those features are used.
Government bodies and authorized external work
When an accepted Work Order or your separate instruction authorizes an external step, Centura may disclose the necessary information and materials to municipalities, agencies, portals, inspectors, vendors, or other parties involved in that work. The current Application does not allow an AI system to autonomously sign, pay, or submit official filings.
Legal, safety, and business purposes
We may disclose information when reasonably necessary to comply with law or legal process; respond to lawful government requests; investigate fraud, abuse, or security incidents; enforce agreements; protect rights and safety; obtain professional advice; or complete a merger, financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate safeguards.
6. Cookies and Similar Technologies
The current Application uses essential cookies to authenticate users, maintain sessions, refresh authentication, and clear invalid authentication state. Disabling these cookies may prevent login or authenticated use. Centura does not currently use advertising cookies or an in-application advertising-analytics service.
If Centura later adds nonessential analytics or advertising technologies, we will update this Policy and provide notice or consent controls where required.
7. Data Retention and Deletion
Centura retains information for as long as reasonably necessary to provide the Services, maintain Client and compliance history, support active or disputed work, preserve provenance and audit records, secure the Services, comply with law, and enforce agreements.
Retention depends on the record. Temporary review and staging files are designed for bounded cleanup. Accepted Client, property, compliance, Work Order, task, document, package, and audit records may be durable or immutable so the Services can preserve history and explain accepted state. Archived property records may be permanently deleted only through the Application's authorized deletion process, which also removes covered private files. Shared records, legal holds, security records, backups, transaction evidence, and information required by law may remain after a request or account closure.
The Application does not currently provide a general self-service account-deletion feature. You may contact us to request access, correction, or deletion, subject to authentication, Client authority, legal exceptions, and operational recordkeeping requirements.
8. Security
Centura uses administrative, technical, and organizational safeguards intended to protect information, including authentication, role- and Client-scoped access, private file storage, validated server operations, and restricted provider and worker access. No system is completely secure, and we cannot guarantee absolute security.
You are responsible for protecting credentials, using authorized accounts, and promptly notifying Centura of suspected unauthorized access.
9. Your Choices and Privacy Rights
Depending on where you live and whether applicable legal thresholds are met, you may have rights to request access, correction, deletion, portability, or additional information about personal information, and to appeal certain decisions. You may also have rights to opt out of sale, targeted advertising, or certain profiling. Centura does not currently sell personal information or use it for targeted advertising.
To submit a request, contact privacy@centurapropertycompliance.com. We may need to verify your identity and authority for the relevant Client. Authorized agents may submit requests where permitted by law. We will not unlawfully discriminate against you for exercising an applicable privacy right.
Business contact information and information processed solely in a business or employment context may receive different treatment under applicable law.
10. Children
The Services are intended for adults acting for property owners, property management firms, and Centura. They are not directed to children under 18, and we do not knowingly collect personal information from children through public signup.
11. United States Processing
Centura operates the Services from the United States. Information may be processed in the United States and other locations where our service providers operate. Those locations may have different data-protection laws than your location.
12. Third-Party Sites and Services
The Services may link to or use government websites, municipal portals, and other third-party services. Their privacy and security practices are governed by their own notices, not this Policy.
13. Changes to This Policy
We may update this Policy as the Services, vendors, and law change. We will post the updated version and revise the effective date. We will provide additional notice or request consent when required by law, including before materially different uses of previously collected information when required.
